The Greenland Representation in Beijing is seeking to recruit a positive, energetic, and service-minded PA – Personal Assistant and Administrative Officer to the Head of the Representation.

The Greenland Representation is a unique and exciting diplomatic office established by the Government of Greenland in 2021, which currently consists of 1 Head of Representation and 1 Personal Assistant. The work and tasks are very dynamic and the office is responsible for all supporting operations of Nalakkersuisut – the Government of Greenland.

We are a very busy team with many various tasks within a broad range of responsibilities such as facilitating the and organizing events, meetings and communications with relevant authorities in China and in Greenland.

As our new PA and administrative colleague, you will participate in the team's overall daily task performance and be primarily responsible for the areas below. However, areas of responsibility may change to maintain flexibility of the office.

 

Main tasks and responsibilities:

  • Interpretation at official work meetings, travels, and social functions.
  • Facilitating and organizing events, meetings and communications with relevant authorities and organizations in China and in Greenland.
  • Preparing correspondence, meeting minutes, translations, reports and other documents for the Head of the Representation.
  • Assisting in making visiting programs, itineraries, logistical support, booking accommodation, internal transportation and hosting events
  • Cooperating with the Chief of Protocol in Greenland for Chinese Governments visits to Greenland and vice versa.
  • Participating in business travels in China and abroad.
  • Journaling and archiving files and cases.
  • Accounting and overviewing over Greenland budget in Beijing.
  • Collecting relevant public news of Greenland in China.
  • Updating contents for webpage, social medias etc.
  • Undertake other ad hoc administrative tasks, functions and activities as directed by the Head of the Greenland Representation.

 

Required qualifications:

 

  • Outgoing, service-minded person with a positive attitude
  • Relevant education at university level
  • Thrives in a busy environment with several tasks at once without losing sight
  • Experience from previous administrative jobs is an advantage
  • Good team player, both with other teams and with management in the Danish Embassy
  • Fluent in Chinese and English. Knowledge of Kalaallisut – Greenlandic or one of the Nordic languages is an advantage, but not a requirement
  • Works independently, structured and organized

Employment conditions:

The employment is 40 hours per week. You will be employed on local employment terms and your salary will reflect your qualifications and experience. The selected candidate must undergo a security clearance prior to signing the employment contract.

About us:

Greenland is the world’s largest Island situated in the Arctic Region. A small population with 56.000 people. The Greenland Representation in Beijing is part of the Greenlandic Foreign Service. The office is located together with the Embassy of Denmark and the Representation of the Faroes. In our daily office work it is required that we work very closely together with our Danish and Faroes colleagues. Our office is a very ambitious, high-paced and dynamic workplace with 2 employees, which consist of one local staff and one posted diplomate.

The Representation’s primary tasks are to ensure that the Chinese – Greenlandic diplomatic relations are maintained and optimized, with special focus on trade, export, political, tourism and cultural exchanges. The Greenland Representation also covers and work closely together with the authorities and governments in the three official observer states to the Arctic Council, Singapore, Japan and South Korea.
