The Royal Danish Consulate in Guangzhou is looking for a Receptionist/Administrative Assistant

Position:  Receptionist and Administrative Assistant
Type of employment: Full time permanent employment on a local contract

Location:  The Royal Danish Consulate in Guangzhou

The Receptionist/Administrative Assistant refers to the head and the Deputy of Mission

Responsibilities:
• Management of reception
• Management of Administrative Affairs in the Consulate General
• Support and back up to other departments in the Consulate General
• Support Visa Department when needed.  Especially in peak season

 Main tasks:
• Receive and assist visitors and ensure that all appropriate logistical arrangements are in place
• Manage in-coming and out-going mails
• Attending to telephone calls to the Consulate General
• Registration of holidays and other absence
• Keep the reception area needs at all times
• Daily administrative affairs in the consulate, including daily office orders, office maintenance coordination, office inventory, storage and office supplier management
• Business trip arrangement, includes accommodation and transportation arrangement
• Regular archive of documentation
• Administration of Diplomats i.e., visa, moving, purchase of vehicles, etc.
• Administrative support for consulate events and official programs.
• Back-up for visa assistance as needed.  (input applicants information when it is needed from visa department during the peak seasons)

Requirements:
• Bachelor’s degree or above
• Proficiency in English and Mandarin (reading, writing, listening and speaking), Cantonese will be plus.
• Minimum two years of experience with receptionist or administrative position
• Customer service minded and detail oriented
• Active and highly motivated
• Being able to work under pressures.
